Data Protection Policy

As part of managing an information request and/or partnership request, COFIDIS, acting as the data controller, collects the following personal data from you:

  • Last name
  • First name
  • Website concerned by the request
  • Job title/function
  • Professional email address
  • Professional telephone number

This information is necessary to present our offers, process partnership requests, and manage integration. Without it, we will not be able to process your request. The data enables us to present our offers, provide access to our documentation, and manage service integration.

Purpose of Data Collection

The information is collected to negotiate, execute, and manage partnership agreements. Your data will be processed for:

  • Establishing contact with our sales teams;
  • Providing access to documentation;
  • Managing the technical integration of our services.

Data Collection and Recipients

The information collected is information that you have provided directly, or that has been provided by the representative of the partner organization for which you work.

The data is intended for authorized personnel responsible for partnerships within COFIDIS, our IT hosting provider, and, where applicable, authorized internal personnel and Group personnel responsible for audit, control, and operational risk management.

Your rights

As an employee, manager, or executive of the partner organization, you have:

  • A right of access to all personal data concerning you processed by our services.
  • A right to rectification if any data is inaccurate.
  • A right to data portability. You may request to receive, in a machine-readable format, the data you have provided to us (data declared by you and data generated through your activity) where processing is necessary for contract performance or based on your consent. You may also request that we transfer the data directly to another data controller.
  • A right to object to processing. You may object to the processing of your personal data unless we are required to process it within the contractual relationship, for legal proceedings, or where compelling legitimate grounds justify continued processing.
  • A right to erasure ("right to be forgotten"). Data concerning employees, managers, and executives of our partners is retained for the duration of the partnership plus the applicable limitation periods relating to customer contracts entered into under that partnership. However, you may request deletion of certain data where:
    • The data is no longer necessary for the purposes for which it was collected;
    • The data has been unlawfully processed;
    • You object to the processing and there are no overriding grounds for retaining the data.

We will review your request and respond accordingly, except where we are legally required to retain the data or where retention is necessary for potential legal proceedings.

  • A right to restriction of processing. When you request rectification or deletion of your data, or object to its processing, you may request restriction of processing during the review period (maximum one month). Restriction may also apply where data is retained solely for potential legal claims. In such cases, your data may only be processed with your consent, except for legal proceedings.
  • The right to provide instructions regarding the handling of your personal data after your death.
